Information you’ll need to know… (Regulations & Procedures)
The Dawson City Chamber of Commerce (hereafter referred to as the Host) will be hosting the 18th annual Dawson City International Gold Show. The show will take place on Friday, May 21, and Saturday May 22, 2004 at the Dawson City Recreation Centre.
Lead Sponsor – one indoor space/w internet, two delegate packages, company name on large banner at Trade Show, 1/2 pg ad space in souvenir program, recognition and link (if applicable) from the website, recognition in the program and in scheduled newspaper advertising.Gold Nugget – two delegate packages, company name on large banner at Trade Show, 1/4 pg ad space in souvenir program, recognition and link (if applicable) from the website, recognition in the program and in scheduled newspaper advertising.
Gold Flake – one delegate package, company name on large banner at Trade show, business card ad space in souvenir program, recognition and link (if applicable) from the website, recognition in the program and scheduled newspaper advertising.
Gold Dust – one delegate package, company name on large banner at Trade Show, recognition and link (if applicable) on the website, recognition in the souvenir program and in scheduled newspaper advertising.
Prospector – company name on large banner at Trade Show, recognition and link (if applicable) on the website, recognition in the souvenir program and in scheduled newspaper advertising
Sponsorship contracts are due by May 1, 2004, benefits cannot be guaranteed without received contract. The host organization will not be responsible for missed deadlines. All advertising must be received CAMERA READY to specifications outlined in contract by April 15, 2004. Please make all cheques and money orders payable to the Dawson City Chamber of Commerce. Sponsorships are not subject to GST.
Exhibitors: Exhibitor placement will be at the discretion of the host organization
Trade Show Booths: The host organization will provide one booth of the size contracted for. It will be curtained on three sides, except for outside space. Each inside booth will have one duplex 110-volt receptacle and a table and chair. Exhibitors will be required to provide the sign for your booth advertising your company. All booths must be paid for by May 1, 2004. Please make all cheques and money orders payable to the Dawson City Chamber of Commerce. Please add 7% GST to payment.
Antique/Craft Fair tables: The host organization will provide one table and chair. You will be required to provide the sign for your table advertising your company. Power is not included for these tables. If you do require power for your display a surcharge may be applied, please contact the Gold Show office to discuss your needs. All tables must be paid for by May 1, 2004. Please make all cheques and money orders payable to the Dawson City Chamber of Commerce. Please add 7% GST to payment.
Advertising in Souvenir Program: All ads must be received completed by May 7, 2004. Please submit your advertising requests to the Dawson City International Gold Show, all cheques and money orders are to be payable to the Dawson City Chamber of Commerce.
Delegate Packages: Trade Show booths – Each exhibitor receives two delegate packages that include the following benefits: Name badge, “exhibitor” tag, Opening breakfast, access to all KPMA speaker sessions, passport program, and closing reception. Additional exhibit personnel are required to register
Antique/Craft Fair – Two name badges, “antique/craft fair” tag, opening breakfast and closing reception.
To pick up your pre-registered delegate package please stop by the “Gold Show Info” booth located in the Arena during “Move-In” (see #4).
2. Cancellation
Any Exhibitor canceling prior to April 1st will receive full refund, between April 1 and April 30, one half refund, after April 30, 2004 there will be no refund remitted.
3. Show Hours
The Dawson City International Gold Show 2004 will be open for public viewing on Friday, May 21 and Saturday, May 22 Show Hours:
Friday, May 21 – 10:00 AM to 6:00 PM Saturday, May 22 – 10:00 AM to 5:00 PM Booths must be staffed during show hours outlined above.
4. Move – In Schedule
Move-In is scheduled for:
Thursday, May 20 – 3:00 PM to 10:00 PM Friday, May 21 – 8:00 AM to 10:00 AM All booths must be completed by 10:00 AM, Friday May 21/04.
5. Registration
All exhibitors and booth personnel are to be registered and will be issued identification badges, which entitles them entrance to all events and seminars (Antique/Craft fair exhibitors limited access). Each exhibitor is allocated two exhibitor ribbons. Arrangements for extra personnel can be made with the host at a cost of a delegate registration per person. The company signing the contract will be the company whose name appears on the badges. A listing of sponsors and exhibitors will be published and distributed at the show.
6. Electrical/Internet Services
Special electrical or Internet requirements must be submitted in writing prior to the show in as much detail as possible. Fill out that portion of the space contract completely. Such requests cannot be guaranteed if made during set up.
7. Character of Exhibit Area
The arena floor is plywood. Heavy trucks are not permitted to drive onto the arena pad due to weight constrictions. No flammable fluids or substances may be used or shown in indoor booths. Exhibitors are required to set-up, display, and dismantle their exhibits. Large exhibits are welcome, but containers and boxes too large to be stored in the booth must be removed from the exhibit floor.
8.Limitation of Liability
The Dawson City International Gold Show 2004 and it’s host, the Dawson City Chamber of Commerce will be exempted from or indemnified for claims by show participants for injury, damage, loss or liabilities that may arise directly or indirectly from the occupation of the show premises.
9. Security
Booth security will be provided after set-up and at the conclusion of each day until one half hour prior to show start, doors will remain locked and security provided. The Dawson City International Gold Show and its’ host are NOT responsible for any goods left in the booth(s). During show hours, exhibitors are responsible for maintaining and securing their individual booth(s).
10. General
For the purpose of providing a well-balanced, well organized, attractive and successful trade show these rules have been drawn. The host organization shall have the power to interpret the rules or amend them if necessary to satisfy the best interests of the entire show and all amendments shall bind the exhibitors.
